ManaDromos — Privacy Policy

1. Overview

This policy describes what Our Minds Change LLC, a Texas limited liability company ("Our Minds Change," "OMC," "we," "us," or "our") collects when you use manadromos.com and the ManaDromos Player at play.manadromos.com, and what we do with it. The short version: we collect the minimum needed to run the Player — essentially your email address and the things you deliberately save or buy. We run no advertising, no analytics trackers, and we never sell or rent your personal information.

2. What We Collect

Account information. When you sign in to the Player we store your email address, an optional display name, when your account was created, and when you last signed in.

Saved journeys. If you use My Journeys, we store the journey files you choose to save (their names and journey data) so they can follow you across devices.

No health information, please. Journey files are session designs — tracks, frequencies, timings — and a name you choose. The Services are not designed or intended to receive health information. Do not type client or patient names, health conditions, diagnoses, or session notes into journey names, author fields, notes fields, or any other content you save to your account. If you are a practitioner, keep client records in your practice systems.

Purchases. If you buy content, our payment processor (Stripe) handles the payment; we never receive your card number. For journey packs we store your email, what was purchased, and when. For ManaDromos Studio we also keep a license record — your name, email address, license key, and purchase reference — used to verify ownership, deliver your personalized copy, re-send lost keys, and disable keys after refunds.

Newsletter opt-in. If you check the newsletter box, we record that choice and its date, and share your email with our newsletter service so we can send you the newsletter.

Studio subscription. If you subscribe to the hosted Studio, we keep a subscriber record — your name, email address, subscription reference, status, and number of paid months — used to grant sign-in, personalize your sessions, show your account status, and determine the subscriber purchase price. Purchasing a Studio license automatically ends an active subscription.

Sign-in tokens. Verification links (for the Player and the hosted Studio) use short-lived, single-purpose tokens that expire automatically.

Studio license personalization. Purchased copies of ManaDromos Studio are stamped with the buyer’s name, email address, and license number inside the delivered file. This information lives in your copy of the file.

Partner referrals. If you arrive through a partner link, we record which partner referred your purchase so we can thank them, and if you create a free Player account after arriving through a partner link, we note on your account which partner introduced you (honored for 12 months). If you apply to the partner program, we keep your application details and our decision. This is a first-party note on your own device plus a code attached to your checkout; no advertising network or cross-site tracker is involved, and partners never receive your personal information, only credit for the sale.

4. Cookies

The Player uses a single first-party session cookie so you stay signed in. It is cryptographically signed, is essential to the service, and is not used for tracking or advertising. The marketing site at manadromos.com does not set cookies of its own. Our hosting provider (Cloudflare) may set operational cookies and keeps standard server logs (such as IP addresses) to run and protect the network; we do not use those logs to identify visitors.

We measure site traffic with Cloudflare Web Analytics, a cookieless, privacy-first tool: it counts page views and referrers in aggregate, sets no cookies, uses no fingerprinting, and cannot identify individual visitors. We run no advertising pixels or third-party trackers of any kind.

5. Data That Stays on Your Device

The Player and Studio applications are designed to keep your working data local. Journey timelines, settings, imported music, and cached audio are stored in your browser’s local storage (localStorage and IndexedDB) on your own device — they are not sent to us unless you deliberately save a journey to My Journeys. Microphone recordings made in the Studio are processed and saved locally and are never uploaded. Clearing your browser storage deletes this local data. The guidance in Section 2 applies here too: even locally, journey files are the wrong place for client health information.

6. Service Providers

We use a small number of providers to run the Services, each receiving only what it needs:

These providers act on our behalf under their own security and privacy obligations. We do not share your information with anyone else except as required by law.

Studio Assistant (AI chat). The hosted Studio includes an optional AI assistant. Messages you send to it, together with the journey design open in your session, are processed by Anthropic PBC (the company behind the Claude AI models) to generate responses; under our arrangement with Anthropic, they are not used to train its models. We do not store chat transcripts on our servers; the conversation exists only in your session and is gone when you close it. We keep a simple daily message count and a monthly usage total per account to operate fair usage limits; neither includes the content of your messages. Do not include client names, health records, or identifying information about others in chat messages.

7. Email From Us

We send transactional email (such as sign-in links and purchase confirmations) as needed to run the Services. We send the newsletter only if you expressly opted in, and every newsletter includes an unsubscribe link. Unsubscribing from the newsletter does not affect transactional email.

8. Retention

We keep account information and saved journeys while your account is active. Sign-in tokens expire automatically within minutes. Purchase and billing records are kept as long as tax and accounting law requires — generally seven years — and then deleted. Our hosting provider (Cloudflare) retains routine operational logs, such as IP addresses, for a short period under its own retention policies; we do not use them to identify or profile you. If you ask us to delete your account, we delete your account record and saved journeys, retaining only what we must keep by law (such as records of completed purchases). Deleting your account also removes the records we use to verify journey-pack grants and Studio license ownership — see Section 9.

9. Your Rights and Choices

You can delete your account yourself at any time in the Player (Settings → Delete account); this immediately removes your account record, saved journeys, purchase grants, and pending sign-in tokens. Alternatively, email jason@ourmindschange.com from your account address to: request a copy of the information we hold about you; correct it; delete your account and saved journeys; or withdraw newsletter consent. We honor these requests regardless of where you live. Requests are answered by a person, normally within a few days and always within 45 days. If you are in a jurisdiction with specific privacy rights (for example, the EEA, the United Kingdom, or California), those rights — including access, deletion, correction, and portability — are available through the same email. We do not "sell" or "share" personal information as those terms are defined in the California Consumer Privacy Act.

Portable copies are provided in the formats the applications already produce: saved journeys as portable journey files (JSON), and account information as plain text.

Deletion has one permanent consequence: it removes the purchase and grant records we would otherwise use to verify ownership, so re-delivery of journey packs and re-downloads, support, or updates for a purchased Studio copy will no longer be available. Your Studio license itself survives — keep your own backup of your personalized copy.

10. Security

All connections use HTTPS. Sessions use signed cookies; sign-in links are single-use and short-lived; we store the minimum data necessary and no payment card numbers. No system is perfectly secure, but small data is easier to protect — and we deliberately keep it small.

11. Children

The Services are not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us personal information, contact us and we will delete it.

12. Where Data Is Processed

We are a United States company. Our primary databases and storage are located in the United States. Cloudflare, our host, operates a global edge network that may cache content — such as streamed music and site files — closer to visitors worldwide; account data lives in the primary US systems. By using the Services you understand that your information is processed in the United States.

13. Changes to This Policy

If we change this policy, we will update the date at the top and flag material changes on the site or by email. We will not weaken the commitments in Section 3 without your consent.
